Move your completed Toggl 2.0 (formerly Focus) time into BillGrid, a month at a time, then invoice it the way you invoice any other time. Importing from Toggl is included on every BillGrid plan, including Solo and trials. The account owner connects it, and only that Toggl user's own entries come in. Classic Toggl Track is not supported.
Connect your workspace
- Open Settings > Import data and choose Set up beside Toggl 2.0 time.
- Copy your workspace address from Toggl and paste it into Workspace URL.
- In Toggl 2.0, open Profile settings > API Token. Choose an expiry, generate a key and paste it into API key. Toggl shows it once, and a new key can sign out other apps.
- Check the Time zone, then choose Connect Toggl.
BillGrid only reads from Toggl. Nothing in your Toggl workspace changes. If you already imported some of this time from a CSV file, check those dates before importing them again.
Choose the dates and import
Choose From and Through, up to 31 days at a time, or use the month shortcuts. Then choose Import time and keep the page open until it finishes. Importing the same dates again never adds an entry twice, so moving several months is one month after another.
Some time may wait for you. For a Toggl project BillGrid doesn't know yet, choose the BillGrid project and Import; BillGrid remembers the choice and imports those dates again. Running timers and entries without a billable setting wait until you finish them in Toggl.
Check dates and rates
Each entry's tracked time goes on the day it started, in the connection's time zone. An overnight entry stays on its start date; BillGrid doesn't split it. BillGrid's normal 24-hour daily limit still applies.
BillGrid's saved billing rates and project rules apply, not Toggl's rates. Time on fixed-fee projects and retainers follows those projects' normal billing. Non-billable time is imported but left out of invoices.
Toggl notes stay in Toggl. Imported entries are described as Tracked time; add any description you want in BillGrid.
Invoice the time
When an import is complete, Ready to invoice lists its billable time by client. Choose Invoice time and the normal time-to-invoice screen opens with those entries selected. Review the dates and rates, then create and check the invoice before you send it. Time already invoiced is left out. See reviewing unbilled work for the normal billing flow.
Time that changed in Toggl
If you import the same dates again after editing an entry in Toggl, BillGrid asks before changing anything. Use Toggl time brings in the new duration and keeps your BillGrid description and rates. Keep BillGrid time keeps your version, and later imports leave that entry alone. Invoiced time is never changed. Deleting time in BillGrid keeps a later import from bringing it back.
If Toggl asks BillGrid to wait, import again after the time shown. If Toggl stops accepting your key, choose Connection and Replace key, using the same Toggl user. Imported time and invoices stay available either way.
Entry details for each import are kept for 30 days. After that, Recent imports still lists the import and your time stays; import the dates again to see the details.
When you're done
Once your time is in BillGrid, choose Connection > Disconnect. BillGrid removes your Toggl key. Imported time, invoices and recent imports stay.
