Bring your client list over in one CSV file; from Harvest, the hours you haven't invoiced too. Past invoices stay in your old tool: keep it for their history. The account owner imports, and nothing is saved until you've seen what the file holds.
Importing a file
- Open Clients and click Import CSV, then choose the file.
- Check what BillGrid read: how many new clients, which of your columns it used, and every row it skips, with the reason (already a client, listed twice, no name).
- Click Import. Clients come in with their contact, phone and address.
Getting the file out of your tool
Choose the tool you're leaving. Menus change, so if yours looks different, search its help for "export clients".
FreshBooks
Open Clients, then More actions > Export clients, and choose CSV. The file reads as it is: organization, contact name, email, phone and address.
Wave
In Sales & Payments > Customers, choose Import or Export > Export. Wave exports through its Wave Connect add-on into Google Sheets; there, use File > Download > Comma-separated values.
QuickBooks Online
Export your customer list to Excel, open it, and use File > Save As with the type CSV. A report's title rows on top are fine. BillGrid reads the customer, company, contact, email, phone and billing address columns.
Xero
In Contacts, open All contacts and click Export, then choose CSV. BillGrid takes the contact name as the client, the first and last name as its contact, and the postal address as the billing address.
Zoho Invoice
Open Customers, use the menu at the top of the list to Export Customers, and choose CSV. BillGrid reads the company or display name, contact, email, phone, currency and billing address.
Invoice Simple
Invoice Simple exports invoices rather than a client list. Export your invoice spreadsheet as CSV (in its Settings); if it has a client column, BillGrid takes each client once and skips the repeats. If it doesn't, make a sheet with a Client column, plus Email if you have it.
Harvest: clients, projects and unbilled hours
Clients only: export clients and contacts from Manage > Clients.
Import the client export first: the time report has no email addresses, so clients that come in only from it have no contact to send invoices to until you add one.
With projects and hours: open the Detailed time report for the dates you want and export it as CSV. BillGrid adds the clients that aren't here yet, makes each project an hourly project at the rate most of its hours were billed at, and logs the hours Harvest hasn't invoiced. Hours Harvest already invoiced are left out, so nothing is billed twice, and importing the same file again adds nothing. Each person's hours go to the team member with the same name, so add your team first; a report with one person whose name isn't on your team is taken as your own hours. Time tracking joins your menu.
Anything else
Any CSV with a header row works if one column holds the client's name, headed Client, Company, Customer or Name. Email, first and last name, phone, address, city, state, ZIP, country, currency, tax ID and notes are read when present. Up to 2,000 rows at a time; save Excel files as CSV first.
