Sync your completed Toggl 2.0 (formerly Focus) entries into BillGrid time records, then use the existing invoice review. Toggl sync is included on every BillGrid plan, including Solo and trials. The account owner manages the connection; only that connected Toggl user's own entries are imported. Classic Toggl Track is not supported.
Connect your workspace
- Open Settings > Toggl. Copy the workspace URL from your Toggl calendar.
- In Toggl 2.0, open Profile settings > API Token. Choose an expiry and generate a key, then paste it into BillGrid's API key field. Toggl shows it once; a new key can disconnect other apps.
- Choose the Start date and Time zone. Choose a BillGrid project for time without a Toggl project, or leave Choose later.
- Keep Manual or choose Automatic, then Connect.
If you previously imported this time using CSV, review overlapping dates before syncing them again.
Choose when to sync
- Manual: choose From and Through dates, up to 31 days, then Sync time.
- Automatic: enabling it queues the first check immediately, then checks every four hours. Each check covers the last 30 days, beginning no earlier than your saved start date. A future start date waits until it arrives.
Sync time works in either mode. Use it for older time or a check before billing. If earlier dates fall outside Automatic's window, use the offered catch-up period. Turning Automatic off stops scheduled checks and keeps saved time.
Entries marked Choose project need a destination. Pick the existing BillGrid project, choose Save mapping, then sync the period again. Incomplete entries wait until you finish them in Toggl.
Check dates and rates
Each entry's tracked duration goes on the date it started in the connection's saved time zone. Overnight entries stay on that start date; BillGrid does not divide them between days. BillGrid's normal 24-hour daily limit still applies.
BillGrid's saved billing rates and project rules apply, rather than Toggl rates. Time on fixed-fee projects and retainers follows those projects' normal billing rules. Nonbillable time is recorded but excluded from the Toggl invoice shortcut.
Toggl notes are not imported. New entries use Tracked time; add any description you want to keep in BillGrid.
Invoice selected time
After a completed sync, choose Invoice time beside the client. The normal time-to-invoice import opens with those eligible entries selected. Review the date range, arrangement and saved rates, resolve any missing rates, then create and check the invoice before sending. Already invoiced hours are excluded. See reviewing unbilled work for the normal billing flow.
Review changes and connection issues
If source time changes, open Compare time. Where available, Use Toggl time applies the reviewed change while preserving BillGrid descriptions and saved rates. Local edits and invoiced time are protected. Keep BillGrid keeps your version and stops future source updates to that entry. Deleting time in BillGrid prevents a later sync from silently recreating it.
Follow the displayed retry time when Toggl asks you to wait. If access stops working, open Connection settings and Replace key, using the same Toggl user. Existing BillGrid time and invoices remain available while syncing is paused.
Detailed sync diagnostics expire after 30 days. Compact history and saved time remain; choose Sync time for fresh comparison details.
To stop the connection, open Connection settings > Disconnect. BillGrid removes the stored key and stops checks. Existing time and invoices remain.
