Managing your BillGrid subscription, billing & trial

Change plans, update how you pay, and see what happens when your trial ends.

This is about what you pay BillGrid for your account — separate from the "Subscriptions" feature you use to send recurring invoices to your own clients. Everything here lives on one page: open the account menu, click Settings, then choose Plans and Pricing (admins only).

Changing plans

  1. Pick a plan from the Subscription plan dropdown. On the Team plan, you can also add Extra staff seats. Every enabled staff member and contractor, plus you, uses a seat, so you can't pick fewer seats than that — disable someone in Staff first.
  2. Choose how to pay: your card on file, a new card, or PayPal.
  3. Click Apply changes.

The page shows what you'll owe before you apply. During your free trial, changing plan or seats is free and doesn't move your trial end date. Once you're paying by card, an upgrade's prorated difference is added to your next invoice rather than charged today, and a downgrade takes effect at your next billing date with no refund. Switching between card and PayPal keeps the days you've already paid for — the new method is first charged when they run out.

Canceling

Click Cancel plan. You'll get a confirmation asking "Cancel your plan at the end of this billing period? You keep access until [date]." — canceling doesn't cut you off immediately, you keep access through the period you already paid for.

Changed your mind?

There's no separate "resume" button. If you have a cancellation scheduled, the page shows a banner telling you to click Apply changes to keep your plan — doing so automatically resumes it.

What happens when your trial ends

If your trial ends and you haven't subscribed yet, an admin sees a "Your trial has ended. Choose a plan to continue." banner and can still get to Settings to subscribe. Anyone else on the account is signed out to a page saying access is paused until an admin subscribes — only an admin can lift that.

If a payment on your BillGrid plan fails

You'll get an email about it. BillGrid doesn't set its own fixed grace period after that — your account stays active until your card processor's own retry attempts are exhausted, at which point the same "subscribe to continue" behavior described above kicks in. If you know a card is expiring soon, updating it under Apply changes before that happens is the simplest way to avoid any interruption.
