Connecting your AI assistant

Connect a compatible assistant, check account access, prepare drafts and preview emails before confirming a send.

Connect a compatible AI assistant to look up BillGrid records, log work and prepare drafts. Start with a lookup, then review any proposed change. Your BillGrid account and record permissions still apply.

Before you connect

AI assistants are included with Pro and Team, including their trials, and retained Classic integration access. Solo is excluded. The account must be in good standing, and the owner must enable assistant access. Staff also need the owner's permission and keep their existing client and financial restrictions.

Retrieved information goes to the assistant's provider. Review your records, notes, files and document PDFs before connecting; do not rely on automatic detection or redaction. Read the business-data checklist and your provider's privacy controls first.

Connect your assistant

  1. In BillGrid, open Settings → AI assistants. The owner can turn on AI assistants for this account and decide whether staff may connect.
  2. Use the setup instructions shown for your assistant. Custom remote MCP connections use https://www.billgrid.com/mcp with OAuth sign-in. Use the production address for your real account.
  3. Start the connection in your assistant, sign in to BillGrid, and check the account and requested permissions before choosing Allow.
  4. Return to your assistant and check that the account is connected. Ask, “Show my overdue invoices, separated by currency.” Confirm that the records belong to the account you intended.

ChatGPT, Claude, Claude Code and other compatible remote MCP assistants have different setup options. Your provider's plan and workspace policy may limit custom connections. BillGrid is not yet listed in the ChatGPT directory. Follow the current provider connection guide rather than assuming a directory listing is available.

Try a useful first request

  • “Show the work ready to invoice for my client.”
  • “Log one billable hour on my review project today. Use the project's saved rate.”
  • “Draft an invoice from only that project's unbilled work. Do not send it.”
  • “Show my receivables aging report, keeping currencies separate.”

Use exact client and project names when possible. “Today” follows your BillGrid account timezone. Open the returned BillGrid link to check saved dates, hours, rates, currency and document status. An assistant can make mistakes; correct the details before sending.

Preview before sending

Ask to preview an invoice, estimate or reminder. Review the recipients, subject, amount, message opening and PDF attachment state. Sending requires a separate explicit confirmation after that preview. If the details change or the preview expires, review a fresh preview and confirm again. Connecting an assistant alone does not authorize any email.

Assistant tools cannot charge cards, transfer or refund money, record received payments, permanently delete records or change your BillGrid subscription. A draft is not a payment, and a reminder preview is not a sent email.

If the connection needs attention

If an old consent window still says Connecting, check the connection status inside your assistant. If it shows connected, close the old window. Otherwise, start a fresh connection from Settings. An error or a closed window is not proof of a successful connection.

If scanning or tool use reports that authorization has expired, reconnect the same account in the assistant or submission editor before retrying. Check the selected account if your assistant has several connections. If assistant access is missing or blocked, ask the owner to check the plan, account setting and staff permission; contact support@billgrid.com if needed.

Disconnect

Open Settings → AI assistants → Connected apps, find the connection by its connection date and last-used date, open its actions menu and choose Disconnect. Owners can disconnect any connection; staff can manage their own. An app can have several connections: each approval has its own permissions, and disconnecting one leaves the others active. The owner can turn off AI assistants for this account to stop them all.

Disconnecting does not undo completed changes or retrieve information already shared with the provider. The full assistant guide covers permission groups, privacy and account-wide controls.
