Archiving and restoring clients and projects

Put a finished client or project away without losing its history, and bring it back later.

Archive a client or project you've stopped working on to clear it out of your day-to-day lists. Nothing is deleted, and you can bring it back at any time.

  1. To archive a client, open Clients and choose Archive under Manage in the client's row menu, or open the client and click Archive. To archive several clients at once, tick them and click Archive in the bar that appears.
  2. To archive a single project, open its client and choose Archive on the project's card.

Before anything is archived, BillGrid shows you what it affects: unpaid invoices and what they add up to, recurring invoices, scheduled emails, running timers, and time or expenses not yet invoiced.

What archiving does

  • An archived client moves to the Archived tab of your Clients list; an archived project to the Archived tab on its client's page.
  • The invoices, estimates, expenses and time entries filed under it are archived with it. They leave your everyday lists and the client and project pickers, and they can't be changed until you bring it back.
  • You can still find them: under the Archived tab of the Invoices, Estimates and Expenses lists, on its project's card on the client's page (under Archived when the project was archived on its own), and in search, where they come last with an Archived label. Opening one says why it's archived and links to where you can restore it.
  • Unpaid invoices stop counting toward what you are owed, and their payment reminders stop. Your client can still open and pay an invoice they were sent.
  • Recurring invoices are archived: no new invoices are created while it is archived. Running timers are stopped and their time saved.
  • Reports still count it, since they report what happened: payments, revenue, expenses and time from archived clients and projects are included.

Bringing it back

  • For a client, open the Archived tab and choose Unarchive from the client's menu, or open the client and click Unarchive. For a project, open the Archived tab on its client's page and choose Restore.
  • Everything archived with it comes back. A client's projects that you archived or deleted on their own stay that way; restore an archived one from the client's page.
  • Recurring invoices pick up from their next scheduled date. Dates that passed while it was archived are not invoiced.

Deleting a client also moves them to the Archived tab with their projects, so Unarchive brings them back as well. Deleting a project is permanent, so a project with invoices sent to the client can't be deleted: archive it instead to keep them on record.
