Connecting Google Calendar

Sync invoice due dates and estimate dates to your Google Calendar.

Put invoice due dates and estimate delivery dates on your Google Calendar so they show up alongside everything else on your schedule. Each invoice or estimate gets one event on that date, and its title keeps up with the document: an invoice reads due, overdue, partially paid or paid, and an estimate shows once it is approved or billed.

Open an event for the details: where the document stands, the client and their contacts, the amounts and first line items, what has happened to it so far (sent, viewed by the client, payments, approvals), and a link back to it in BillGrid.

  1. Open the account menu, click Settings, then under Integrations choose Calendar Sync.
  2. Choose where your dates go: A new BillGrid calendar (recommended), or One of my calendars.
  3. Click Connect and sign in with the Google account you want to use.
  4. With a new BillGrid calendar, you're done: BillGrid creates the calendar and adds your upcoming dates. With one of your calendars, choose which Calendar to sync into, check the event types you want, and click Save.

The BillGrid calendar keeps BillGrid's dates apart from the rest of your schedule: show, hide or recolor it in Google Calendar like any other calendar, and BillGrid can't see your other calendars. To move to one of your own calendars later, click Configure, then Use one of my calendars.

When you first pick a calendar, or turn on another event type, BillGrid adds your existing upcoming invoice due dates and estimate delivery dates to it.

Under Calendar maintenance on the same page:

  • Sync now adds any upcoming dates that are missing, including events deleted in Google, and corrects any that are out of date.
  • Remove BillGrid events deletes the upcoming events BillGrid added and leaves the rest of your calendar alone.

If you switch to a different calendar, BillGrid asks whether to remove its events from the old one first.

Both only cover dates from today onward; past entries are left as they are.

If Google stops accepting the connection, for example after a password change or when access is revoked, Calendar Sync shows Needs reconnecting and a note appears in your dashboard activity. Click Reconnect; BillGrid then adds the upcoming dates it missed.

To stop syncing, go back to Calendar Sync, click Configure, then Disconnect under Connection. Disconnecting does not delete events already on your calendar, so use Remove BillGrid events first if you want them gone.
