Features / Payments and credit

Money received.
Every part accounted for.

Record a partial payment, divide one transfer across invoices, or keep an advance as client credit. See what the money paid and what remains available.

  1. 01 / OPEN

    Start with the invoice.

Choose Mark Paid on an invoice or Record payment from its row menu. Pick how you received the money: check, cash, bank transfer or card taken in person.

  2. 02 / RECORD

    Enter what arrived.

Choose Paid in full for the remaining balance today, or Partial payment for a smaller amount. The invoice becomes Paid or Partially paid accordingly.

  3. 03 / ADD DETAIL

    Keep the reference.

Choose Split, line items or a note for the full panel. Set the received date, check number or transfer reference, and a note for your team.

Paid before the next bill

Keep the advance.
Use it when needed.

Record money on the client's page and leave the unapplied amount as credit. Overpayments can leave credit too. On the client, choose Use on an open invoice; on an invoice, Credit, then your chosen method combines available credit with a new payment.

Credit must match the invoice's currency. A payment using credit cannot exceed the balance or use more credit than the client has.

Illustrative allocation / USD

One bank transfer received$1,200 received

$700 to the oldest invoice. $300 to the next invoice. $200 left as client credit for a later bill.

Example allocation. Review and change the amounts before recording.
Can I pay particular invoice lines?

Yes, before the first payment is recorded. Choose Line items in the panel; the payment must equal what the selected lines owe.

Are online payments recorded automatically?

Stripe payments are recorded for you. Read about online payments before connecting your account.

Does recording a refund return money to a card?

Deleting or reallocating a payment record does not return money to a card. Card refunds from BillGrid are not currently available; recording money and returning funds are separate actions.
