Features · Recurring invoices

Recurring invoices that send themselves.

Bill retainers, subscriptions and monthly clients once, and BillGrid creates each invoice on schedule, weekly to yearly, and emails it for you or saves it as a draft to check first.

How it works

  1. Build the invoice once: client, line items, tax.
  2. Pick how often it repeats (every week up to once a year), a start date and, if you like, an end date.
  3. Choose whether each new invoice is emailed to your client automatically or saved as a draft for you to send.
  4. BillGrid creates every invoice on the same day each period, and your client can pay it by card from the email.

The details that matter

  • Month ends handled. Start on the 31st and shorter months use their last day, returning to the 31st when the month has one.
  • Your time zone. A new day starts in your company's time zone, so invoices don't arrive a day early or late.
  • Pause and resume. Pausing stops new invoices; resuming picks up at the next date. Paused periods aren't billed afterwards.
  • Safe to edit. Changing the schedule applies from the next invoice; invoices already sent are never repeated.
  • Reminders included. Recurring invoices BillGrid emails get the same payment reminders as any other.
  • Every plan. Recurring invoices are on the $8 Professional plan, with unlimited clients.

What it doesn't do

BillGrid doesn't charge a client's saved card automatically: each invoice arrives with a link and your client pays it by card, or you record a check or transfer. If automatic card charging matters to you, tools like Harvest and Bonsai offer it; our comparisons say where each fits.

Questions

Can I bill a retainer every month?

Yes. Set a monthly recurring invoice for the retainer amount. To draw work against money a client paid up front, use a client retainer as well.

What if a client's amount changes?

Edit the recurring invoice; the change applies from the next one. Invoices already created stay as they were.

Can the invoices go out without me checking them?

Yes, if you turn on automatic sending. Leave it off and each invoice waits as a draft until you send it.
